The good news is that you do not need a county-standard square or a committee of twenty. You need a date, a ground, two teams of reasonable enthusiasm and a small crew of willing helpers. Here is how to pull it together properly.
Choose a date and secure your ground
Start with the ground, because everything else depends on it. Approach your local council's parks team about booking a recreation ground, or ask a nearby cricket club whether you can hire their square and outfield for the afternoon. Clubs are often glad of the income, and you get proper facilities into the bargain: a prepared pitch, boundary markers, changing rooms and a working kettle.
A Sunday afternoon works best, with a 1pm start and a finish comfortably before dusk. Check the local league fixture list first so you are not competing for players or spectators, and be honest with yourself about the weather. Book a reserve date two or three weeks later, and agree in writing what the fee covers. Expect to pay somewhere between £50 and £150 for a club ground, less for a council pitch. Confirm parking, toilets, access to water and power, and whether you are allowed to run a barbecue on site.
Build the teams and gather your volunteers
Two squads of eleven is the target, but do not be rigid about it. Mixed-ability cricket is the whole point, so mix experienced club players with people who have not held a bat since school. If you are worried about injury or confidence, use a soft ball for part of the match and a hard ball for the rest, and keep the younger or less experienced players away from the close fielding positions.
Volunteers are the difference between a relaxed afternoon and a stressful one. Recruit early, be specific about what you are asking, and put it all in one group chat:
- Two umpires who know the laws well enough to keep things moving and keep the tone friendly.
- A scorer with a book, a pencil and a loud voice at the tea interval.
- A first aider with a stocked kit and a charged phone.
- A gate and parking marshal to greet arrivals and point people in the right direction.
- A refreshments team of at least four, so nobody is stuck in the kitchen all day.
- A photographer for the local paper, the fundraising page and next year's posters.
Sort the rules, insurance and safety before match day
Keep the format simple: twenty overs a side, a limit of four overs per bowler, and a retirement rule so one strong player does not dominate. Agree the rules in advance and share them in writing, along with start times, meeting points and what kit to bring.
Insurance matters. If you are playing under a club's umbrella, ask whether their public liability cover extends to your event. If not, take out single-event cover in the charity's name. Write a short risk assessment covering the pitch surface, boundaries, seating, food handling and the weather, and note what you will do if play is suspended. If children are taking part, follow safeguarding practice, keep them supervised and make sure anyone with regular responsibility for them has the appropriate checks. Insist on helmets for anyone facing a hard ball, and keep spectators a sensible distance back from the boundary.
Plan refreshments and fundraising that actually earns
The tea interval is where much of your money is made, so treat it as a proper part of the day. Set up a serving table with an urn, sandwiches, cakes, fruit and plenty of cold drinks, and offer vegetarian and gluten-free options clearly labelled. If you plan to sell alcohol, check whether you need a temporary event notice or whether the club's existing licence covers you.
On the fundraising side, layer a few simple ideas rather than relying on one:
- A small entry fee per player, collected in advance so nobody is chasing cash on the day.
- Sponsorship of individual overs, with names read out over the microphone.
- A raffle with prizes donated by local shops, cafés and businesses.
- Donation buckets at the gate and near the tea table, plus a card reader for people who never carry cash.
- A printed programme with the team sheets, the sponsor list and a short note about where the money goes.
Be clear and specific about the cause. People give more generously when they know exactly what the money will pay for.
Run the day smoothly and thank people properly
Arrive two hours early. Set up the boundary, the tea table, the gate and the signage, and hold a five-minute briefing with your volunteers so everyone knows their job. Keep an eye on the clock, announce the final overs clearly, and have a short presentation at the close so the total raised can be celebrated while everyone is still there.
Afterwards, thank everybody individually — players, umpires, the ground staff, the cake bakers, the raffle donors. Share the final figure publicly, along with a few photographs, and note down what you would do differently next year. Then pencil in the same Sunday for next season.
